Position Summary

Senior Administrative Assistant
Office of the Dean of Students
Full-Time

Primary Responsibilities:

  • Provides administrative support for the Dean of Students and the Associate Dean of Students
  • Schedule appointments, meetings, and Student of Concern Team meetings
  • Serve as the initial point of contact for the office, including meeting and greeting visitors, answering questions, providing information and resources, and answering multiple telephone lines
  • Handle confidential and sensitive materials in compliance with FERPA and university policies
  • Generate correspondence and reports using word processing, spreadsheets, and database software
  • Manage Responsible Redhawks Course utilizing Vector Solutions software
  • Assist with updating incidents in Maxient and entering judicial fines
  • Monitoring Student Professional Development funding for the Dean of Students via the Workflow funding process
  • Send notifications to faculty for the Dean of Students for student absences
  • Respond to inquiries that require a working knowledge of other offices and their procedures, including the Office of Student Conduct, Center for Behavioral Health and Accessibility Services, etc.
  • Process purchase requisitions, budget transfers, Chrome River reports in addition to monitoring departmental budgets and expenses

Required Qualifications

  • High school diploma or GED
  • Excellent communication and interpersonal skills, including the ability to remain calm under pressure
  • Demonstrated ability to maintain a high level of integrity and discretion in handling confidential interactions, documents, and information
  • Demonstrated ability to work professionally and interact positively with students, faculty, staff, and the public
  • Experience handling emotionally charged situations either by phone or in person
  • Proficient knowledge of Microsoft Office Word, Excel, Access, and email programs
  • Demonstrated successful experience in monitoring budgets
  • Demonstrated ability to handle multiple tasks with frequent interruptions
  • Strong organizational skills and attention to detail
  • Evidence of the ability to work independently with minimal supervision
  • Demonstrated experience and understanding of customer service
