Senior Administrative Assistant
Office of the Dean of Students
Full-TimePrimary Responsibilities:
- Provides administrative support for the Dean of Students and the Associate Dean of Students
- Schedule appointments, meetings, and Student of Concern Team meetings
- Serve as the initial point of contact for the office, including meeting and greeting visitors, answering questions, providing information and resources, and answering multiple telephone lines
- Handle confidential and sensitive materials in compliance with FERPA and university policies
- Generate correspondence and reports using word processing, spreadsheets, and database software
- Manage Responsible Redhawks Course utilizing Vector Solutions software
- Assist with updating incidents in Maxient and entering judicial fines
- Monitoring Student Professional Development funding for the Dean of Students via the Workflow funding process
- Send notifications to faculty for the Dean of Students for student absences
- Respond to inquiries that require a working knowledge of other offices and their procedures, including the Office of Student Conduct, Center for Behavioral Health and Accessibility Services, etc.
- Process purchase requisitions, budget transfers, Chrome River reports in addition to monitoring departmental budgets and expenses
- Required Qualifications
- High school diploma or GED
- Excellent communication and interpersonal skills, including the ability to remain calm under pressure
- Demonstrated ability to maintain a high level of integrity and discretion in handling confidential interactions, documents, and information
- Demonstrated ability to work professionally and interact positively with students, faculty, staff, and the public
- Experience handling emotionally charged situations either by phone or in person
- Proficient knowledge of Microsoft Office Word, Excel, Access, and email programs
- Demonstrated successful experience in monitoring budgets
- Demonstrated ability to handle multiple tasks with frequent interruptions
- Strong organizational skills and attention to detail
- Evidence of the ability to work independently with minimal supervision
- Demonstrated experience and understanding of customer service
