    Job Summary

    The Office Secretary - Secondary provides secretarial support to the school site, including managing records, compiling and distributing materials, and responding to inquiries. This role is essential for ensuring effective school operations and administrative efficiency.



    Key Responsibilities

    • Meetings:
      • Attend department and in-service meetings to gather and share essential information.
    • Financial Transactions:
      • Collect payments for events, fines, and fundraisers, ensuring accurate processing and submission.
    • Data Management:
      • Compile and prepare data for reports and process various requests.
    • Project Coordination:
      • Manage assigned projects and activities, ensuring timely and accurate completion.
    • Inventory Management:
      • Maintain inventory of office supplies and materials.
    • Record Keeping:
      • Manage manual and electronic document files, maintaining up-to-date and accurate records.
    • Clerical Support:
      • Perform general clerical tasks including scheduling, copying, faxing, data entry, and answering phones.
    • Documentation:
      • Prepare correspondence, reports, and other documents to document activities and convey information.
    • Processing Documents:
      • Handle various documents and materials in compliance with administrative guidelines.
    • Research:
      • Research topics related to department operations to provide informed recommendations.
    • Communication:
      • Respond to inquiries from internal and external parties, facilitating effective communication and direction.



    Minimum Qualifications

    • Education: High school diploma or equivalent.
    • Experience: Relevant job-related experience is required.
    • Skills: Proficiency in operating standard office equipment and relevant software; accurate record-keeping.
    • Knowledge: Basic math skills; business telephone etiquette; ability to read manuals, write documents, and present information.
    • Abilities: Ability to schedule and organize activities, work with a diverse group of individuals, manage tasks, and adapt to changing priorities.
